Make asking easy

The biggest barrier to volunteering is not knowing how to sign up. Remove friction by giving people one clear link or QR code that takes them straight to your open roles.

  • 1. Put a QR-code flyer on the canteen window, noticeboard and change-room door so people can sign up while they wait
  • 2. Use one short club web address in every email and team chat, instead of a different link each week
  • 3. Include the sign-up link in your season welcome pack, so new families see it before round one
  • 4. Show the live roster on a screen or printed sheet at the canteen with the empty slots circled
  • 5. Pin the sign-up post to the top of each team group chat so it does not scroll away

Ask the right people

Not everyone wants to coach, but many parents, older students and local workers are happy to help in smaller ways. Offer a mix of roles so more people can say yes.

  • 7. Offer local businesses a sponsorship-volunteer swap: they staff a BBQ, you promote them on the day

Shrink the commitment

People are more likely to volunteer when the ask is specific and time-bound. "Two hours on Saturday" beats "we need helpers this season".

  • 12. Let people pick the round or date that suits them rather than assigning dates
  • 13. Offer job-sharing so two people can split a season-long position
  • 14. Set a simple club norm: one shift per family per season, and say so up front

Make it social and rewarding

Recruitment and retention are the same job. When helpers feel noticed, they bring friends — so recognition belongs in your recruitment plan, not after it.

  • 17. Post thank-you photos of your helpers after each game day
  • 18. Give volunteers a canteen voucher or free coffee for their shift
